Your Help is Needed!! HEB Marching Contest

We need your help!

We still have approximately 100 volunteer spots open for this Saturday’s Marching Contest hosted by the Trinity and L.D. Bell Bands. Please take a minute to look at the sign up and see if you can spare 2-3 hours this Saturday. (Remember, when you volunteer, you get Free admission to the event)

This is a huge Fundraiser for our band and we need the support of all band families. We still have a lot of afternoon and evening openings.

Trinity will exhibition at 4:45 p.m.

**We are also looking for a few parents who could be Timers in the afternoon and evening. (Email me if you’re interested)

Position Descriptions:

Director Check-In — sit outside at check-in table near the front entrance, greet directors as they arrive, hand out director packets (packets include director lanyards/nametags, schedule, wristbands for chaperones), some directors may present check for entry fee.

East Gate — stand/sit outside at the east gate field exit, assist bands as they exit the field. Direct spectators to the main entry gate. No view of field.

Elevator Host — sit inside elevator and monitor traffic to P1 (director hospitality) and P2 (Judges and HEB Officials floor). Other than directors, judges, and volunteers assigned to P1 or P2, no one should be riding the elevator unless they are being escorted to handicap seating via P1.

Entry Gate — stand in a covered area at front entry gate, greet spectators as they arrive and check for wristbands (or band uniform/shirt). Direct visitors to restrooms, concessions, first aid, stadium seats, etc.

Field Exit — stand/sit outside at the east end of the field to assist bands as they exit the field, directing pit through the north ramp/tunnel exit and others to the east gate exit. Extreme sideline view of the field.

First Aid — sit at first aid station located within Pennington Field. Be available to assist with any first aid needs.

Parking Lot Attendant — stand/sit in parking lot, be available to assist Parking Lot coordinator with directing traffic, parking buses, keeping lanes clear.

Set Up — First people to arrive at Pennington. An on-your-feet and in-motion job to help set up tables and chairs, hang signage, move items to the hospitality room, set out supplies needed for each station, etc.

Spectator Gates — stand outside in the stadium at the top of ramp to seating sections, monitor entrance to assigned section. Spectators may only move to seats between performances. Once a band begins taking the field, the monitor will place a chain with a sign across the entry ramp and ask any arriving spectators to wait quietly while the band performs.

T-Shirt Sales — sit under covered area at T-Shirt table and take money or pre-paid combo ticket for t-shirt purchase. Restock display table as needed. (drumline contest only)

Ticket Sales — sit inside ticket booth and sell wristbands (tickets) as spectators arrive. Admission can be purchased with cash or credit. Hand out programs with wristband. Need to comfortable with fast- paced transactions involving cash and lines that come and go.

Volunteer Check-In — sit outside at check-in table near the front entrance, greet volunteers (students and adults) as they arrive, have volunteers sign in, give volunteer nametag and wristband, give volunteer a copy of job description(s), show on map where assigned station is, be available for questions, give directions.

Water Station — stand/sit outside near the east gate where bands exit the stadium, follow schedule and ensure that water is available as each band departs the field. Monitor trash and be sure all litter is in receptacles.

West Gate — sit/stand outside at the west entrance to the field by the parking lot, monitor access to the field as bands enter. Direct spectators to the main entry gate. No view of field.
